BASIC FUNCTION:
Performs highly responsible
staff assistant and/or administrative duties to a top level administrator such
as a Provost, Vice President, Cabinet Member or similar level administrator.
RESPONSIBILITIES:
v
Serves
as staff assistant to the administrator and relieves the supervisor of
administrative details.
v
Designs,
implements and maintains rules and administrative procedures within the unit.
v
Performs
research and special projects for the supervisor.
v
Assists
in the preparation and maintains the budget for the unit to which assigned.
v
Prepares
correspondence, reports, letters, tests, documents and related materials for
the supervisor and other department personnel.
v
Opens,
reviews and processes incoming mail.
v
Relieves
the immediate supervisor of administrative and office tasks.
v
Schedules
and participates in meetings, conferences and related activities.
v
Serves
as liaison with other college departments and units.
v
Processes
and answers inquiries regarding department operations or functions.
v
Provides
information to visitors, students and staff regarding operations of the
department in person or over the telephone.
v
Operates
a computer, calculator, data entry machines and other office equipment.
v
Prepares
reports, statistics and other information relating to the operation of the unit
to which assigned.
v
Maintains
files, records and statistics of the unit and program of assignment.
v
May
direct the work of part-time clerical staff and student assistants.
v
The
position may require the taking and transcribing of correspondence and notes
utilizing shorthand or a similar method of transcription.
v
Performs
related duties as required.
EDUCATIONAL
REQUIREMENTS:
Associate's degree or two
(2) years of college with courses in secretarial science, business
administration, office services or related field.
EXPERIENCE
REQUIREMENTS:
Four (4) years experience
in administrative, staff assistant or secretarial work.
KNOWLEDGE/ABILITIES/SKILL
REQUIREMENTS:
Knowledge of the operations
of the administrative unit to which assigned. Knowledge of the rules and
procedures of the unit to which assigned. Knowledge of sentence structure.
Knowledge of word usage. Skill in reading comprehension. Skill in proofreading.
Knowledge of basic mathematics. Ability to maintain good relationships with the
public, students, faculty and staff. Ability to type at a prescribed rate of
speed. Ability to take and transcribe dictation if the particular position
requires this skill. Ability to operate a computer. Communications skills. Office
management skills.
