POSITION DESCRIPTION
POSITION TITLE: Staff Assistant

BASIC FUNCTION:
Performs advanced staff assistant and/or
secretarial duties within a department of the college which may include
a high volume of student and staff contact.
RESPONSIBILITIES:

Maintains specialized and complex records,
reports, and data of the department to which assigned.

Implements and maintains records of SPJC
rules and procedures within the unit.

Performs research and special projects
as directed by the supervisor.

Prepares correspondence, reports, letters,
tests, documents and related materials for the supervisor and other department
personnel.

Opens, reviews and processes incoming
mail
-
Relieves the immediate supervisor of administrative
and office tasks.
-
Schedules and may participate in meetings,
conferences and related activities.

Serves as liaison with the assigned department
and other college departments and units.

Processes and answers inquiries regarding
department operations or functions.
-
Provides information to visitors, students
and staff regarding operations and services of the department in person
or over the telephone.

Operates a computer, calculator, data
entry equipment and other office equipment.
-
Prepares reports, statistics and other
information relating to the operation and services of the unit to which
assigned.

Maintains files, records and statistics
of the unit.
-
May direct the work of part-time clerical
staff and student assistants.
-
The position may require the taking and
transcribing of correspondence and notes utilizing shorthand or a similar
method of transcription.

Performs related duties as required.
EDUCATIONAL REQUIREMENTS:
Graduation from an accredited high
school or possession of an acceptable equivalency diploma, supplemented
by college level courses in office services skills.
EXPERIENCE REQUIREMENTS:
Three (3) years experience in office
and secretarial work.
KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:
Ability of the rules and procedures
of the unit to which assigned. Knowledge of sentence structure. Knowledge
of word usage. Skill in reading comprehension. Skill in proofreading.
Knowledge of basic mathematics. Ability to maintain good relationships
with the public, students, faculty and staff. Ability to keyboard at a
prescribed rate of speed. Ability to take and transcribe dictation if the
particular position requires this skill. Ability to operate a computer.
Communications skills. Office management skills.
