Library Staff Assistant

BASIC FUNCTION:
Performs advanced staff assistant/secretarial duties for the librarians and
support staff of Campus Library.
RESPONSIBILITIES:

Maintains specialized
records of the library, including requisitions, travel requests, and library
research information.

Implements and
maintains rules and procedures within the unit.

Performs research and
special projects for the supervisor.

Prepares
correspondence, reports, letters, documents and related materials for the
supervisor and other department personnel.

Schedules fulltime staff and adjunct librarians to insure coverage of
library during normal business hours, plus vacations & sick days
-
Relieves the immediate
supervisor of administrative and office tasks.

Schedules and
participates in meetings and related activities as needed.

Processes and answers
inquiries regarding department operations or functions, including scheduling
classroom and meeting room use by Library, Campus and Community users.

Provides information
to visitors, students and staff regarding operations of the department in
person or over the telephone.

Prepares reports,
statistics and other information relating to the operation of the library
and maintains files for same.

Helps direct the work
of student assistants.

Prepares and
distributes payroll and leave requests for all staff.

Assists library
professionals in carrying out clerical and secretarial functions including
preparing purchase orders, maintaining records, and acting as liaison with
Facilities and TRS personnel.

Performs receptionist
duties, handles phone calls and other inquiries and maintains the areas
assigned in absence of the library professionals.

Prepares
library and departmental statistical data.

Operates a computer
(Outlook, Word, and Excel), calculator, data entry machines and other office
equipment.

Monitors all copiers
and printers, arranges for paper and other supplies, empties all cash
machines, counts money, reconciles accounts and deposits funds to the
Business Office.

Attends monthly campus
staff assistant meetings

Enters LIS classes
into PeopleSoft.

Performs related
duties as required.
EDUCATIONAL REQUIREMENTS:
Graduation from an accredited high school or possession of an acceptable
equivalency diploma, supplemented by college level courses in office services
skills.
EXPERIENCE REQUIREMENTS:
Three
(3) years experience in office and secretarial work. Library or college
department office preferred.
KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:
Knowledge of the rules
and procedures of the unit to which assigned. Knowledge of sentence structure.
Knowledge of word usage. Skill in reading comprehension. Skill in proofreading.
Knowledge of basic mathematics. Ability to maintain good relationships with the
public, students, faculty and staff. Ability to keyboard at a prescribed rate of
speed. Ability to take and transcribe dictation if the particular position
requires this skill. Ability to operate a computer. Communications skills.
